Database :

The database system used by Vetlook
TM is SQL Server 2005 System provided by microsoft.
MS-SQL Server 2005 high-end database technology enables you to store data
from structured, semi-structured, and unstructured documents,
such as images and music, directly within the database.
HQ Database :
The HQ or Head Quarters database is a main synced database that stores all the infomation used at multibranch level.
VetlookTM uses this HQ Database to upload and download any information that is
new to the HQ or Local Database.
For example if a user of vetlook is on the move and they update or even add a new client, it will be then stored
with-in their local database. Once connected to the network this will be synchronized with the HQ database.
The next day that user log's on the office computer, that local database is then updated with the update or new client
that was added previously.
Now all databases are synchronized.
Backup Database :
The Backup database is an indentical copy of the HQ Database for use
of a two tire database synchronization system. This way you have a copy of all the data incase of any problems.
The main use of this feature is if there were a problem with the internet connection between branches and the HQ, then
VetlookTM will try and get its
data from the online backup database. If both databases are out of reach of the system then it will synchronize
automatically when it finds the connection again, and you
can still work with the local database in house.
VL-DBAS :
VL-DBAS or VetlookTM Database Access method is about the synchronization and the copy of data around your company.
The main function of the synchronization is to keep more than one copy of all company data.
For example, if you were to install another office computer you would setup another VetlookTM system
on that new computer and arrage its settings to correspond with the branch it is addressed to.
Each office computer has its own local database to work from, or there are many other ways of setting up VetlookTM.
On the move :
As brifly mentioned in the HQ database section, the purpose of this is: work can
still be done locally and then updated as connected to the network.
The advantage with this is the data stored, can later be used by all the branch users.
If you wish, there are other options, for example: from a full application level there is a
web portal, secured by your own servers, most likely stored with the HQ or BACKUP Databases.
You can now access your office branch, login and work from there.
Customer text messaging :
Now introducing sms technology to VetlookTM,
there are many other options to your clients ,ensuring a smooth running of your Practice.
You can, manually send a text message to a client if needed.
SMS Reminiders :
Text message reminders are sent to the client if the option in the appointment made has been selected.
The options are to send recurring reminders or just the once set from a time given before the appointment.
SMS Gateways :
Though Vetlook Pure AdminTM, the sms gateways are listed,
from the four compatiable gateways you can select one as default and the system will then use that gatway to send text
messages though their system.
To use one of the gateways you will have to register with one of them and setup your sms gateway at the "Pure Admin Level".
This is an easy way of setting up an sms gateway with the system to ensure a smooth running of your Practice.
Full version, multi branch and multi user :
This version is more for the corporate business side, this means having a main
surgery as HQ (Head Quarters) Database Server and / or the backup database.
Then with your internet the other surgery's connect though a VPN connection so
they can synchronize there data day to day while working.
This configuration can handle multiple sites and multiple users simultaneously.
Full version, multi branch and single user :
This version is more for the semi-corporate business side, this means having a main
surgery as HQ (Head Quarters) Database Server and the backup database.
Then with your internet the other surgery's connect though a VPN connection so
they can synchronize there data day to day while working.
This configuration can handle multiple sites each with one user simultaneously.
Lite version, single branch and multi user :
This version is for the `single surgery`, this means having a main computer as a HQ Server.
Each computer in the surgery will be linked to this computer to recive data from.
Then with your internet as an option the online `vl-portal` can be accessed while on
the move connecting though a VPN connection.
This configuration can handle one site and multiple users simultaneously.
Lite version, single branch and single user :
This version is for the `single surgery`, this means having a main computer as a HQ Server.
Then with your internet as an option the online `vl-portal` can be accessed while on
the move connecting though a VPN connection.
This configuration can handle one site and one user.
Logging in the system :
Logging in to the system has become easier, with the new barcode scan cards.
Employees can now have their own scan cards to login via VetlookTM,
this makes it faster for the user to startup VetlookTM for day-to-day activities.
Users now can also personalize there working enviroment for ease and comfort
making your business and your pratice or branches more efficient.
If the user or employee losses his / her card a new one can be issued though the system with out
repeating the original card that was lost. While lost the user can still login to the system
using their username and password, which is created by adding an employee.
System auditing :
Though out the use of VetlookTM the system will log most if not all activity
to the database. This is prodomantly for the use of sending audits to `vetlook.co.uk` for either bug fixes or problems that will
be fixed, and then system updates will become available.
Though Vetlook Pure Admin TM you can view
the systems log or audit service, example if you wanted to view a descrepincy
with a user not logging on to the system or view system problems that can be resolved internally.
If a major error or problem occurs with the use of VetlookTM then
though Vetlook Pure Admin TM you'r able to send seletive
logs to `vetlook.co.uk` for analysis.
VLS Security :

VLS Security is used though out the system, this works similar to windows server security.
Though Vetlook Pure Admin
TM you can setup multiple user groups.
For each of these user groups you can set verious policies, these include what they
can and can not do with the system. After the groups have been setup you can assign
users or employees to a pacific group giving them access to policies set via their user group.
Example 1:
----Setup a group (Administrator)
--------Assign all policies
--------Assign a user (your self) to that user group.
Example 2:
----Setup a group (Employee)
--------Assign the policies you want employees to access.
--------Assign all employees to that user group.
Multi Branch systems :
Using a VPN (Virtual Private Network) over the internet making your
data transfers secure while the system is synchronizing over more than one branch.
All VetlookTM database's have a locking mechanism
that stops data streams from confilction while synchronizing. Example: if one branch / site was at the time
synchronizing and another branch / site starts the same process the one thats starts first will synchronize untill it is finished
then once finished it will unlock the database for other branches / sites to synchronize.
Closing vetlook at the end of the day :
There are two ways of closing down the system, normally you would quit by closing the window.
When the system closes it will synchronize the database or close depending on the version you have.
The system will know wether it had a successful synchronize this way the next day it will do both.
Now we have a new `Quit function` that will shut down the system and shut down / turn off the computer
automatically.
During the automatic shut down there will 5 attempt's at synchronization if this fails the system will
mark it and attempt to synchronize the next time.
Scanning documents :

Vetlook
TM supports the use of
scanners, now able to scan in documents to the system as part of the client / animal record data.
These can consist of image's (i.e. X-rays), printed or hand writen documents about the history of an animal, or
even test results that need to be assigned to the clients / animals history.
Printing :
VetlookTM supports printing of documents, these are
printings of POS system recpiets, consent forms, reminders and charts etc...
VetlookTM also supports the printing of drug labels
that are placed on small bottles that contain the clients / animals medication.
Client notes :
Client notes are added if needed to the clients profile or account in the system.
Notes are used as part of accessing the past history on the client from either one branch to another
or moving from one company to another.
Client notes can be added by writing a description and / or adding an attachment as a document or email.
Bar Code Scanner :
The barcode scanner used with VetlookTM plays a big part as it is used
for two parts: Logging in to the system and / or the main part is the POS system.
VetlookTM can still be used with out the barcode scanner as this is optional.
How ever the software is sold with a scanner for your personal preference.
Label Printer :
VetlookTM, as mentioned above prints drug labels, this is done using
a small label printer for small sticky labels that are then placed on these small drug containers.
How ever the software is sold with a small label printer that has to be used by VetlookTM.
General Administration :
VetlookTM has the general administration menu that can be access by other uses
depending on their user group or assigned policies.
This way the users that do have access to the admin menu items can add, edit and / or delete things like
Stock types and items, animal species and breeds, procedures, and
test types that are supported though billing, and much mcuh more.
Vetlook Pure Admin :
Vetlook Pure AdminTM is used by the owner and / or the administrator to setup
VetlookTM from the start.
Vetlook Pure AdminTM consists of features that access the HQ Database directly,
this is used to filter down the branchs if used on an incorporate structure.
Vetlook Pure AdminTM can be used to setup employees, user roles, branchs / sites,
clients payment methods and unlock the databases manually if needed.
Vetlook Pure AdminTM has lots more features including the viewing reports.
